1. Overview

FlexApply ("we", "us", "our") provides job application services to candidates seeking employment in the United States, including holders of OPT and H-1B status. This Privacy Policy explains what information we collect, why, how it's used, and your rights regarding it. By using flexapply.org or engaging our services, you agree to this policy.

2. Our confidentiality commitments

Your job search is sensitive. Many of our clients are currently employed, on visa timelines, or in situations where discretion matters. We commit to the following:

  • No public identification. We never publish client names, photos, employers, or identifiable stories. We do not use your search in testimonials, case studies, or marketing without your separate, explicit written consent.
  • Minimum necessary disclosure. Your information goes only to the employers you're applying to and the referral contacts a specific application requires. Referral contacts see only what the referral needs.
  • Your employer never finds out through us. We will exclude your current employer, its affiliates, and any companies you list from all targeting and outreach.
  • No data sales, ever. We do not sell, rent, or trade personal information to anyone, for any reason.
  • Deletion on request. Ask us to delete everything we hold about you and we will, subject only to records we're legally required to keep.

3. Information we collect

We collect only what we need to deliver our service:

  • Identification & contact: name, email, phone number, and address (where required by employer applications).
  • Career data: resume, work history, education, skills, target roles, salary expectations, and references you provide.
  • Visa & eligibility: visa status (e.g., OPT, STEM OPT, H-1B) and work-authorization preferences, used to target appropriate employers.
  • Account credentials: where you authorize us to apply on your behalf through portals (e.g., LinkedIn), credentials are stored encrypted, used only for that purpose, and deleted when your campaign ends.
  • Communications: messages you send us via email or our contact form.
  • Site usage: standard server logs (IP, browser, pages visited) for security and improvement.

4. How we use information

  • To prepare, tailor and submit job applications on your behalf.
  • To facilitate referrals and outreach to recruiters and HR contacts at target companies.
  • To provide tracking reports and respond to your support requests.
  • To improve and secure our service.
  • To comply with applicable law.

5. Sharing

We share your information only as needed to deliver the service:

  • Employers: as part of submitting applications, your resume and required application data are submitted to the employer you've targeted.
  • Referral contacts: when we facilitate an internal referral, we share your resume and only the context that referral requires with the contact.
  • Service providers: trusted vendors that help us operate the service (e.g., form processing via Formspree, hosting via Netlify, email delivery), under appropriate confidentiality obligations.
  • Legal requirements: if required by law, regulation, subpoena, or to protect rights and safety.

We do not sell your personal information. We do not share your information with data brokers, advertisers, or any party not listed above.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, but we limit access to need-to-know, encrypt sensitive credentials at rest, and remove credentials when no longer needed.

7. Data retention

We retain your information for as long as needed to provide the service and for a reasonable period afterward to comply with legal, accounting, and reporting requirements. Portal credentials are deleted when your campaign ends. You may request deletion of everything else at any time (see Your Rights).

8. Your rights

Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at hr@flexapply.org. We respond within a reasonable timeframe.

9. Cookies and analytics

flexapply.org uses minimal cookies, primarily for essential site function. We may use privacy-respecting analytics to understand site usage. You can disable cookies in your browser settings; some features may not work as intended.

10. Children

Our services are not intended for individuals under 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest revision. Material changes will be communicated via the website or email where appropriate.
